Hi, so:
Roughly in August, we learned that the contact@wookieepedia.com email list, which is supposed to forward emails to every admin's @wookieepedia.com email address, was inoperable. But there's also a good list of other reasons why we should consider swapping this out, including:
- The @woookieepedia.com emails are, technically, owned and paid for by Wookieepedia's co-founder. This means that, per how admin perms work in gmail email addresses, he could technically gain some access to the other emails in the domain. I'm not sure I'm the most comfortable with it (nothing against the guy, just don't know him, nor do most of the current editors).
- Earlier in 2024, we almost lost the @wookieepedia.com email domain altogether because the payment method was about to expire; only pure chance meant we caught it in time and managed to contact who we needed to to get this fixed. But if we're tying social media accounts to this, it's rather unsecure to have it reliant on payment being available (especially payment from someone no longer active).
- At Community Connect (this April), was able to confirm with someone in person that "socialmediateam@wookieepedia.com" is only a forwarding inbox; it's unable to send and receive mail. This means that we're physically unable to swap some of the social media accounts to it because it isn't forwarding the confirmation emails properly; the only other option would be to tie it to an admin's individual @wookieepedia.com email, which isn't really optimal.
- We've been unable to add emails to the contact@wookieepedia.com forwarding list for quite some time; also, most admins promoted recently don't have @wookieepedia.com emails to begin with. So on top of being inoperable, would only reach a fraction of the admins once it starts to work again.
Anyway, I propose pointing people to the Admins noticeboard/Discord to reach the admins, the SMT for "press inquiries", and codifying what we are doing at the moment—using wookieepediasmt@gmail.com for the central email of the social accounts. That email in and of itself won't be able to be accessed by parties no longer with us, and is centrally managed by Cavalier One.
This would take effect in three ways:
- Wookieepedia:Contact diff
- Wookieepedia:Social Media Team diff
- Blanket permission for "contact@wookieepedia.com" be changed 1:1 on any policy page or official social media profile (as defined by the accounts listed on WP:SMT) "wookieepediasmt@gmail.com." — This is primarily because there might be some oft-forgotten guidance or policy that has this contact email tucked in it that I've forgotten, so a straight replacement will allow us to point to this CT to do such.—spookywillowwtalk 19:23, 24 November 2024 (UTC)

- Is it possible for us to reach out to the domain owner, so that they coud pass ownership of the domain to us instead? Bonzane10

- Copying reply from elsewhere so it'll be on public record, but: in the past, admins did try to get it back (and the emails too), but the founder had wanted to continue owning them. And again in 2024 around when we almost lost them, instead of transferring, the payment info was just updated with assurances it'd continue to be paid for (which I mean, good since we don't have to spend money, but also doesn't solve much in regard to the above question.)—spookywillowwtalk 00:42, 27 November 2024 (UTC)
